E-Blast: PBP Reporting Reminder: Staff Records and Foundations Training

Dear Providers:

As we approach the end of FY2018 Q1, please take a moment to review the measure for staff training, which is one of two measures that changed this year to align with the FY2018 RBWO Minimum Standards. The following information is a reminder of standards that were in effect 7/1/2017.

I. Three components of this measure apply to staff in roles CSS, CSW, HSP, LC, CCW, and DIR on the orange Staffing screen in GA+SCORE:

  1. Staff records must be added to GA+SCORE within 10 days of the Role Start Date.
  2. Staff must have valid safety checks.
    1. For new staff, there must be an OIG letter prior to the agency start date but no more than one year old as of the agency start date. All other checks – the CPSIS/CARs screening and the three online checks – must be no more than 30 days old as of the agency start date.
    2. For existing staff, there must be a full set of unexpired checks. Remember that OIG letters expire every five years, and all other checks expire annually. Checks must be redone in the month prior to the staff person's anniversary date; checks should not be redone more than 30 days before the anniversary date. OIG checks must be redone in the 30 days prior to the check's expiration date.
  3. New and existing staff must complete at least six hours of training each quarter towards an annual total of 24 hours. Excess training hours reported in an earlier quarter will be applied to later quarters within the same RBWO fiscal year, provided the training is entered in GA+SCORE by the reporting deadline.

II. The components for Foundations registration & completion apply only to staff in the roles CSS, CSW, HSP, and LC.

III. There is no longer an exclusion for staff who work fewer than 20 hours per week.
