E-Blast: Updates: GA+SCORE reporting for PBP & FH compliance during COVID-19

Dear Providers:
 
The Office of Provider Management and DFCS leadership are working with you to ensure that children, youth, and young adults in care continue to receive the support they need during the COVID-19 pandemic. We are still reviewing how best to complete our obligations related to monitoring, performance-based placements, and foster home compliance during this time. You will continue to receive updates as we establish new or temporary processes.
 
Please take note of the following recommendations:
 
All providers: If you are unable to complete an EPSDT medical or dental visit for a youth due to the pandemic, remember that you can enter the date of the planned visit and select "3rd Attempt Made" as the visit status. (If a visit is due but could not be scheduled, enter the first day of the month as the visit date.) Review the steps here. Reporting your EPSDT visits with this status ensures that your program is not penalized for missed visits but also allows the state to quickly identify which youth will need to complete visits when it becomes possible to do so.
 
All providers: New staff in the roles of HSP, Life Coach, Case Support Supervisor, and Case Support Worker should continue to register for the e-Learning component of Foundations within 30 days of their hire date, and the e-Learning component should be completed within 90 days of registration. However, the requirement to complete the Classroom component within four months of hire has been relaxed for all staff whose hire date falls after 11/15/2019 (due 3/15/2020). You do not need to take any action to request an extension. OPM's training group will notify you when an alternative process has been identified.
 
All providers: If you are unable to complete the OIG Fitness Determination Letter/fingerprinting process for staff, please complete the local GCIC check. Upload this check in place of the OIG using the date 4/15/2020 to help the state identify these staff.
 
CPA providers: If you are unable to complete a medical check/immunization for a household member or potential caregiver — including Form 36 and the Medical Evaluation / Health Statement — please enter the date of the planned visit and enter "COVID" as the Name of Physician. Review the steps here. This ensures that you are able to submit the initial approval or re-evaluation in GA+SCORE but allows the state to identify which foster homes will need to update their records later.
 
CPA providers: If you are unable to the OIG Fitness Determination Letter/fingerprinting process for an adult household member or potential caregiver, complete the local GCIC check. Upload this check in place of the OIG using the date 4/15/2020 to help the state identify these homes.
 
ILP/TLP providers: If a youth or young person is unable to complete the measurement for academic / career development, remember that you can enter the last day of the month and select "3rd Attempt Made" as the status. Review the steps here. Reporting a record with this status ensures that your program is not penalized for difficulties with employment.
